Acknowledgements and announcements: confirmation with a record

Sending an important internal document is not always enough. Sometimes you also need to know who received it, who read it and which version was in force.

In Corganize, any published document can be sent with an acknowledgement or confirmation request. This is useful for internal policies, health and safety information and other formal company announcements.

How does an employee acknowledge it?

The employee reads the document and, depending on the setting, confirms it either by clicking a button or by entering their full name.

The system records the event so you can later see who accepted the document and when.

What record is kept?

A searchable record of who accepted which version of the document and when. A snapshot of the issued version is also retained, and the acknowledgement evidence cannot be changed or deleted from the interface afterwards.

This gives you a much clearer record than relying on an email or a verbal briefing and later having to assume that everyone received the information.

What if someone does not acknowledge it?

You can see who is still outstanding. You can set a deadline, and the system sends email reminders before it expires and alerts you if the deadline passes.

What is the difference between an acknowledgement and an announcement?

The same tool is used for two different purposes.

An acknowledgement is typically a document where you want explicit acceptance. An announcement is more of an official notice, for example new opening hours, a process change or an internal update.

An announcement can include text, audio or video. You issue it once and can see who received it and who confirmed that they have seen it.

Can it be sent automatically to a new employee?

Yes. If you add an acknowledgement to a group’s starter pack, a new employee receives it automatically on first login together with their onboarding plan.
