GDPR: what can employees do with their data?

What employee data do you store?

Name, email address, role, onboarding progress, quiz results, accepted acknowledgements, notes and internal messages. That is all. We do not track what employees do on their computers outside Corganize.

Can employees download their own data?

Yes. From the Profile page, they can download the personal data stored about them in a machine-readable format with one click. They do not need to submit a separate request.

Can they turn off emails?

Most notification emails can be disabled by type. There is one exception: acknowledgement requests and formal announcements cannot be switched off because they are official communications from the employer.

What happens to training records after someone leaves?

They remain archived with the company, in the same way that a paper training record would. They can be deleted at the company’s request.

How long are logs retained?

System activity logs are automatically deleted after 90 days. Evidence of accepted acknowledgements remains for as long as the company account exists, because retaining that record is its purpose.
